    Tracelink is in search of an administrative and operational recruiting support professional with a strong work ethic who enjoys building relationships, has strong communication skills, a positive demeanor, and has very strong attention to detail. The ideal candidate should be comfortable handling numerous projects at the same time while keeping track of all the pieces. We are looking for someone who is sharp, motivated, and strives to exceed expectations.


    Provides Recruiters with day-to-day administrative and compliance support, including, but not limited to:

    • Schedules phone and on-site interviews using MS Outlook Calendar and/or Google Calendar, both in the US and internationally
    • Ensures candidates get to appropriate interviewers
    • Sends out, collects, and properly stores all employment related forms
    • Coordinates candidate travel, gathers and submits candidate expenses
    • Initiates background checks, obtains results and correctly stores data
    • Develops and delivers employment contracts and offer letters  
    • Responsible for updating candidate status regarding all parts of the staffing lifecycle: paperwork, interviews, next steps, etc.
    • Creates and updates our Social and Professional Networking presence on LinkedIn, Glass Door, Facebook, Twitter, etc.
    • Updates our Career Page as needed
    • Spearheads various Talent Acquisition projects for things such as Employment Branding Videos, Operating Principles Videos, Photography, etc.
    • Owns the Employee Referral Program, sends out related corporate-wide communications and arranges associated contests and spiff programs
    • Assists with job postings via our online Applicant Tracking System and other job  boards
    • Helps develop and adheres to recruiting and onboarding processes
    • Assists with scheduling training and education events
    • Ensures data accuracy in the Recruiting ATS system and holds Recruiters accountable
    • Coordinates and attends University Career Fairs
    • Administers and helps oversee the corporate Internship Program including scheduling and arranging all events
    • Researches new hiring initiatives, recruiting tools, career fairs, university relationships, social networking opportunities, networking events, etc
    • Transitions new hires from the Talent Acquisition ATS system into the HR onboarding system


    • Strong experience providing Recruiting and/or Human Resources administrative support
    • Solid knowledge of MS Office and/or Google tools with emphasis on MS Outlook Calendar and/or Google Calendar function
    • Must be able to manage multiple priorities in an organized fashion and work well under pressure
    • Experienced in scheduling both phone and on-site interviews using MS Outlook Calendar and/or Google Calendar
    • Skilled in creating offer letters and/or employment contracts using templates
    • Demonstrated creative problem solving ability
    • Ability to thrive in a high-volume, fast-paced environment
    • Strong administrative, time management, and multi-tasking skills
    • Ability to provide administrative support to global clients
    • Experience working with Applicant Tracking Systems (ideally iCims)
    • A passion for Social and/or Professional Networking (LinkedIn, Facebook, Twitter, etc.)
    • Experience with University Relations and/or Internship Programs a plus
    • Bachelor’s Degree or equivalent experience
