    Regional office manager responsibilities include management of office facilities, employee safety and day to day office operations. Serves as the main point of contact for employees, facilities management and office services vendors.  Responsible for oversight of the reception area, enforcing TraceLink compliance policies. Ensures visitors and employees are greeted in a friendly, professional manner. Assists the management team as needed with scheduling conference room reservations and special projects. Places orders for all office supplies. Previous experience as an Office manager would be an advantage. A successful Office manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.

     

    Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

    ­

    • Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
    • Office operations efficiency by monitoring condition, submitting for necessary repairs, planning and implementing office systems, layouts, and communicates all office equipment procurement to the IT department.
    • Liaise with facility management vendors, including cleaning, catering and security services. Manage existing facility setup and management – operational, functional and technical tasks / activities.
    • Manage contract and price negotiations with office vendors, and service providers.
    • Implements TraceLink standard office policies, standards and procedures ; first aid, safety and evacuation policies. Measures results against standards; making necessary adjustments applicable to regional requirements.
    • Provides manager monthly documentation of all expenditures related to office operations, lunch, groceries and company events. Ensure that all items are invoiced and submitted to accounting.
    • Partner with HR to update and maintain office policies as necessary
    • Ensures reception area is adequately staffed and operating in accordance with operational and compliance standards.
    • Assist in the onboarding process for new hires
    • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
    • Plan in-house or off-site activities, like parties, celebrations and conferences

    ­

    • 3 -5 years’ experience in Office operations and administration.
    • Bachelor's degree (or equivalent) in any field
    • Knowledge of office administrator responsibilities, systems and procedures
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills in a fast-paced environment
    • A creative mind with an ability to suggest improvements.
